Why bother

A signature is the most-read marketing surface you own.

The average knowledge worker sends 40 emails a day. That’s roughly 10,000 impressions a year — more than most companies’ homepage gets. Yet most email signatures are inconsistent, out of date, and built from copy-pasted snippets that look broken in Outlook.

A good signature does three things: it makes you legible (name, role, company), it makes you reachable (one or two best ways to contact you), and it points the reader at one next action — a calendar link, a product page, a portfolio. Everything else is noise.

Our 30 templates are the result of testing variations across every major email client, removing anything that breaks in Outlook 2016 (the most strict renderer in common use), and biasing toward the layouts that survive forwarding, replies, and mobile clients without visual drift.

How to install

Add your new signature to Gmail in under two minutes.

    Generate and copy your signature

    Fill in your details and click 'Copy for Gmail'. The signature is now on your clipboard as styled HTML.

    Open Gmail settings

    In Gmail, click the gear icon in the top right, then 'See all settings'. You'll land on the General tab.

    Scroll to the Signature section

    Scroll down until you find 'Signature'. Click '+ Create new', name your signature, and click Create.

    Paste the signature

    Click into the signature editor box and paste (Cmd/Ctrl + V). Your styled signature will appear with formatting intact.

    Set defaults and save

    Under 'Signature defaults', pick this signature for new emails and replies. Scroll to the bottom and click 'Save Changes'.

On macOS Mail, untick “Always match my default font” — otherwise the styles get stripped on send.

Is signaturin's email signature generator really free?

Yes. The generator runs entirely in your browser — there is no signup, no email collection, no watermark, no credit-card requirement, and no usage limit. The signatures it produces are yours to keep.

Will this signature work in Gmail?

Yes. The 'Copy for Gmail' button puts the signature on your clipboard as styled HTML. Paste it into Gmail's signature editor (Settings → General → Signature) and the formatting carries over exactly as you see it in the live preview.

Does it work with Outlook, Apple Mail, and Yahoo too?

Yes. Every template is hand-coded with table layouts and inline styles — the only HTML pattern that renders consistently across Gmail, Outlook 2016+, Outlook on the web, Apple Mail, Yahoo Mail, and the major mobile clients. We test against all of them.

Why do you use 30 hand-crafted templates instead of an AI?

Email signature HTML is unusually brittle. A model generating HTML from scratch tends to produce code that looks fine in a web browser but breaks in Outlook. Curating 30 templates that we have personally tested across every major client is the only honest way to promise 'it will look right when you send'.

How does the prompt matching work?

When you write a prompt — 'modern SaaS founder, indigo' — we tokenise it, expand each word using a synonym dictionary (so 'lawyer' also matches 'legal' and 'attorney'), then score every template by tag overlap. The best-fit template is selected; the next two are surfaced as alternatives. All in your browser, no API calls.

Can I customise the colours and fonts?

You can override the accent colour with any hex value. Fonts are deliberately fixed to web-safe stacks (system sans, Georgia for serif templates, monospace for the developer one) because custom fonts are stripped by most email clients — using them would mean inconsistent rendering across recipients.

Will my photo and logo show for everyone?

Yes, provided they are hosted at publicly accessible URLs (no Google Drive links — those redirect through a login wall). Upload to a CDN, your company website, or a service like Imgur, and use the direct image URL.

Does signaturin store the information I type?

No. The entire generator runs client-side. We do not send your name, email, or any other field to any server. You can verify this by opening your browser's developer tools and watching the network panel — there are no outgoing requests when you generate a signature.

What if I need the same signature on every employee's email?

Pick the 'Sales CTA' or 'Recruiter' template. Fill in 'CTA label' (e.g. 'Book 15 minutes') and 'CTA URL' (your Calendly or Cal.com link). The button is rendered as table-based HTML so it survives every major email client.

Can I use the signature in HubSpot, Front, Help Scout, etc.?

Yes. Use 'Copy HTML' instead of 'Copy for Gmail' to grab the raw markup, then paste it into the HTML editor of any tool that accepts a custom email signature.

Why do some templates strip my pronouns or credentials field?

Only the templates that have a slot for them render those fields. Most professional and minimal templates intentionally omit pronouns and credentials to stay clean; the academic, medical, legal, and consultant templates surface them prominently. Try one of those if you want them shown.
